1. Attendance & Participation
Students are expected to attend all scheduled classes and actively participate. Minimum attendance requirements may apply for certain courses to qualify for certification or continues registration. Excused absences should be communicated in advance, particularly for private lessons. While make-up classes may be offered at the Institute’s discretion, they are not guaranteed.
For online courses, students must follow participation guidelines, including logging in on time, engaging in activities, and completing all assignments. Missed private lessons will generally not be rescheduled, except in exceptional circumstances and with supporting documentation.
2. Course-Specific Rules
Some courses may have unique prerequisites, conduct rules, or material requirements. Course-specific rules will be clearly communicated in the course description or registration details. Where conflicts arise between general Institute policies and course-specific rules, the course-specific rules will take precedence.
3. Payment Terms
Course fees are paid in advance according to the schedule provided during registration. Payments can be made via online payment platforms, cash or bank transfer. Students who do not pay by the deadline may be unable to attend classes until payment is received. Any course materials or services provided prior to payment remain payable.
4. Refunds & Cancellations
Students may request a full refund if cancellation is made at least 2 days before the course begins, unless a course-specific term applies. A 7-day cooling-off period applies from the start date of most courses, during which a 50% refund may be requested. After this period, fees are non-refundable.
Students who are unable to attend a registered course may request to transfer their enrolment to a future course of the same type if their registered course has not started, and this is subject to availability. Failure to attend the course does not qualify for a refund. The Institute reserves the right to cancel or reschedule courses due to low enrolment or unforeseen circumstances, in which case students may choose a full refund or transfer.
Certain fees, such as application or course materials, may be non-refundable. In cases of serious illness or other exceptional circumstances, refund requests will be considered at the discretion of the Institute and may require supporting documentation.
5. Course Materials & Intellectual Property
All course content, including handouts, slides, videos, and exercises, is the intellectual property of Irtaqi Institute. Students may use these materials for personal learning only and may not reproduce, share, or distribute them without permission. Recording of sessions is prohibited unless explicitly authorised. Breaches of intellectual property rules may result in disciplinary action.
6. Code of Conduct
All students are expected to behave in a respectful and professional manner in both in-person and online settings. This includes respectful communication, adherence to class rules, and cooperation with staff and peers. Misconduct, harassment, or disruptive behavior may result in warnings, removal from the course, or other disciplinary action at the Institute’s discretion.
7. Privacy & Data Protection
The Institute collects and stores student information for administration, communication, and reporting purposes. Students have the right to access, correct, or request deletion of their personal data. Data will not be shared with any third parties except where required for course delivery or legal compliance.
8. Health & Safety
Irtaqi Institute is committed to ensuring a safe learning environment. Students must follow all safety rules in classrooms, and the centre. Emergency procedures, including fire exits and first aid instructions, must be observed.
9. Certificate & Assessment Policy
Certificates are awarded upon successful completion of courses according to attendance, participation, and assessment requirements. Specific criteria for passing or receiving a certificate will be provided for each course. Students who fail assessments may have one more chance to resit exams, subject to course rules. Certificates will not be issued to students who do not meet the minimum requirements.
10. Complaints
Students may submit complaints regarding courses, staff, or facilities. Complaints should be submitted in writing via email. The Institute will respond within a reasonable timeframe and may offer remedies if possible.
